You can enable rescheduling to allow teams some flexibility in deciding when to play out matches for the entire tournament.
Allowing teams to reschedule match times helps reduce forfeits for teams who cannot play on specific times or days.
You can find the rescheduling options in the tournament or league settings panel. By default, rescheduling is disabled, but you can enable and customize it using the toggles below:
Rescheduling
Toggle this ON to allow teams to reschedule their matches. Only one rescheduling mode (General or Advanced) can be enabled at a time. You must choose one of the following:
- General Rescheduling (simple range control)
- Advanced Rescheduling (more detailed control)
Time to Respond, hours (Optional)
This is the Auto-accept toggle that's commonly used in Leagues.
When enabled, if a team receives a proposal, they have a limited time to respond. If the said team does not respond within the defined time, the first date & time on the reschedule proposal is automatically accepted.
You can set the number of hours the teams have to respond (e.g., 24 or 48 hours).
The proposals are auto-accepted only if the following conditions apply when an auto-accept value is set as X hours:
- The match start datetime is > 2*X away from the start time,
- The match is at its original schedule (not previously rescheduled)
Example: Time to Respond is enabled, value set to 48 hours for teams to respond. The proposal auto-accepts only if a proposal is sent in 96 hours (48h * 2) before the original start time and the match is currently scheduled to its original date & time.
Proposal Expiry, hours
This controls how close to the match time teams can submit new proposals. After this window closes, no new proposals can be made, and pending ones are auto-rejected.
- Example: If set to 2 hours, no proposals are allowed within 2 hours of the match start time.
General Rescheduling (Toggle Option)
This lets you define how far from the original match time teams can reschedule.
- Hours Before/After: How many hours earlier or later can the new time be.
- Days Before/After: How many days before or after the original day the match can be moved.
Example - If a match is scheduled for January 10 at 3 PM, and you allow:
- 1 hour before, 2 hours after
- 1 day before, 2 days after
Teams can reschedule between January 9, 2 PM, and January 12, 5 PM.
Advanced Rescheduling (Toggle Option)
Use this for more detailed control, for example if finals need stricter rules. You can configure different time limits for specific match types (e.g., grand finals), such as:
- Hours before/after
- Days before/after
Rescheduling Proposals History
To check the details of a reschedule proposal, including when the rescheduling offer was accepted or auto-accepted, click the INFO icon next to the proposal date and time.
All dates and times are displayed in the UTC timezone.
User Experience / Walkthrough
Team A & Admin Matchroom
- Team A sees a pop-up in the middle of a Matchroom to propose a new time.
- Any logged-in user can view and oversee all proposal history, including any pending proposals.
Team A vs Team B - Pending Proposals View
- Team A can:
- Cancel their proposal entirely (e.g., revoke it)
- Cancel and submit a new proposal.
- Team B can review the offered dates/times by clicking on the ‘Review Proposal’ button, and:
- Counter-propose a new date/time
- Reject the proposal (with an optional reason that posts in the matchroom chat)
- Accept the proposal
Notifications to Team B Captain
Team B's captain gets a notification when a new proposal is received for their team.
If accepted, another in-app notification confirms the match has been successfully rescheduled.
Rescheduling Example, from a Player’s perspective
Teams can reschedule matches using the rescheduling tool on the Matchroom. This allows both teams to find a more suitable time if the default time doesn't work.
Creating a Proposal
- Go to your or the Tournament’s matches list and open the Matchroom.
- Click "Reschedule" to open the proposal window.
- Choose a new date and time. The available dates & times will be shown based on the organizer’s settings.
- You can submit up to three different proposals using the "Add Proposal" button.
- Click "Send" to submit the proposals to your opponent.
Managing Proposals
After submitting a proposal, you can manage your proposals by clicking "Manage Proposal" on the Matchroom page to cancel or update them. If needed, you can cancel your proposals at any time.
Responding to Proposals
When you receive proposals, click "Review Proposal" on the Matchroom, and You can accept, reject, or leave a reason for rejecting the offer.
If multiple proposals are received, you can choose the one that suits you best.
Auto-Accept Ruling (If Enabled by the Organizer)
If no response is given within the organizer-defined time (usually set to 48 hours), and the proposal was made early enough (in a competitive league, more than 96 hours before the match), the first proposal would be auto-accepted.
Other Notes
- Proposals made too close to the match time may not be accepted automatically.
- Proposals expire and become locked shortly before the scheduled match time, based on organizer settings.
- All proposal history, including accepted or rejected offers, is visible on the Matchroom via "View History".
- For any issues during the rescheduling process, teams should contact the organizer or support before the match.
- The 96-hour rule is directly linked to the "Hours" setting, which determines when a proposal is eligible for auto acceptance. Specifically, the rule is calculated as:
Hours × 2 = Minimum Time Before Match for Auto-Accept
