Setup: Tournament Statuses + Launching tournaments

This topic will cover the details of what each tournament status means for both the organizer and the players.

For Tournament admins, this is visible in Tournament > Settings > Control Panel.

You should also list your tournament on your organizer’s page to make it publicly visible by toggling “Publish tournament.”

By default, all tournaments are launched automatically one minute before the first round is scheduled to start. Additionally, you can launch your tournament whenever the sign-ups have closed and before the tournament’s first round is scheduled to begin.

Some partnered organizers may have the ability to disable the auto-launch feature. To do so, uncheck the “Launch automatically” toggle.

Status variations

Here is a table with all the statuses and what they mean for both the organizer and the players/teams signing up for/participating in the tournament.

Status What it means to Organizers What it means to the Participants
Created

Once the tournament has been created, the status is automatically set.

This is the time to set up the schedule, join settings, sign-up times, prizes, and match configuration.

Nobody can join the tournament yet. 

Anyone with the tournament link can access the page and view its details, even if it is set to unlisted.

Join Sign-ups are automatically opened and closed at the date and time you specify under “Structure > Schedule. Teams can now join the tournament during this phase.
Checkin

You can require the team captain to confirm participation before sign-ups end.


Check-in start:

When check-in opens for a tournament, all team players receive an automated email and an in-app notification.


Check-in purge:

At the end of the check-in, teams that hadn’t checked in from the tournament were removed.

However, if the sign-ups are still open after the check-in end time, teams can rejoin the tournament and be automatically checked in. 


Check-in automatically opens at the set ‘Check-in opens’ time.

Check-in purge automatically starts at the set ‘Purge missing check-ins’ time. 

Check-in ends at the specified sign-up closing time set in ‘Schedule.

Teams must confirm their sign-up by checking in from the tournament's front page if Check-in is enabled.


Teams can still join and sign up until sign-up closes or until all team slots have been reserved.

Adjustment

Depending on your configured schedule, this status may last minutes or days.


When sign-ups close, some rounds might be removed if there aren't enough teams for the anticipated number of rounds.


Now is the time to go over the match configuration for the last time before matches are generated, including:

  • Review the teams that signed up
  • Assign seedings to the teams or move them across groups
  • Finalize the game configuration for rounds. This cannot be redone for the generated rounds upon tournament start.
  • Schedule the round times (required if you want to ensure that some matches are played on specific days.

You may choose to launch your tournament manually to give teams access to their Matchrooms before their matches start and to allow teams to reschedule their first-round matches.


Tournament can be launched by pressing the LAUNCH button from Settings > Control Panel.

If auto-launch is enabled in the Control Panel, this status will last until one minute before the first scheduled round is set to start.

If auto-launch is disabled, a tournament admin must manually launch the tournament.


Organizers cannot reopen sign-ups that have already closed. If this is necessary, please contact FACEIT Tournament Operations.

Once the sign-ups are closed, no new teams can sign up during this phase.
Ongoing

Match configuration changes after launch will only impact matches that haven’t been generated yet.


This phase means the tournament has started, and all matches are yet to be played.

All players receive a match-ready mail an hour before each match.

When a tournament match starts at the scheduled time, all players receive an in-app notification on FACEIT with a link to the match room.

Further round generation (for Swiss system)

Once all admin calls have been settled, an admin must manually generate the following round.


As a tournament admin, navigate to the Matches tab, select the next round, and follow the instructions on the page.

If you are running a Major-like Swiss system format with eliminations and qualifications, this is where you qualify or eliminate teams before generating the next round.


Once generated, it cannot be undone or re-generated.

Players await for the tournament admin to generate the next round.
Finished

If all rounds have been played out and matches are marked as “FINISHED,” the tournament is automatically marked as “Finished.” 

If the system hasn’t automatically finished a tournament after there are no more matches, please contact FACEIT Tournament Operations.

FACEIT Points prizes are automatically paid out after 48 hours.
Cancelled

A tournament can be cancelled at any time.


You must be the Owner or have the Senior Admin permission to do so. 

The tournament can be cancelled from Tournament > Settings > Control panel > a red CANCEL TOURNAMENT button.


This action cannot be undone.

Once cancelled, the tournament will be completely hidden from the organizer’s page, meaning that only those with a direct link to it will still be able to view it.
